Give every location a readable identity
Use a hierarchy that matches the building: warehouse, zone, rack, shelf and bin. Keep identifiers stable when the contents change, and distinguish a physical location from a product category.

- Identify returns, damaged goods and goods awaiting inspection separately
Count once, then protect the movement trail
Choose a quiet period for the opening count. Record the product, unit, location and quantity, with batch and expiry information where relevant. Investigate differences rather than quietly overwriting a total.
After setup, name who may receive, move, approve adjustments and count stock. A transfer should identify both ends of the journey; a sale and a physical dispatch may happen at different times.
